Quality & Training Coordinator - Rochester (Posted 7/26/23)
Role
The Quality & Training Coordinator is responsible for continuously improving and driving high performance of our quality program and our associate training and onboarding. This includes continually promoting the quality program to the next level and overseeing all aspects of our quality program throughout the day to day operation of Swagelok Western New York – processes are followed accurately, policies are adhered to, metrics are tracked and customers are receiving our best quality product and service. Training responsibilities include supporting structured onboarding programs of new hires and associates in transitional positions (changing roles) – as well as support of internal training programs for all associates, both outside sales and inside staff.
Responsibilities
Quality
- Work with Operations Manager, Controller and Distributor to determine Quality Objectives for current year – and create tracking mechanism that pushes out progress to plan – monthly
- Posts Quality Objectives at each office and ensures review
- Creates Annual Audit Schedule – and regular review of audit schedule progress to plan
- Conducts audits to ensure quality program meets SQS requirements
- Reviews quality logs (non conformance, product return, customer satisfaction etc.) weekly – and shares with leadership team
- Monitors trends and makes proposals for reoccurring issues requiring DPS
- Plays active role in quality of Custom Solutions program – determines critical areas that require constant review – eg. Weld log, eye of customer – and per feedback from Distributor, Controller, Director of Sales – will regularly monitor other key areas of custom solutions quality and implement preventative actions
Training & Development
NEW HIRES:
- Supports Operations Manager in creation of Onboarding & Development plan for new hire
- Schedules 30 / 60 / 90 day reviews for all new hires – and sets reminders for manager to follow up
- Captures feedback from reviews and supports Manager with documentation and filing – encourages Manager to follow up on action items / next steps
- Supports Operations Manager in setting schedule for new hires – and includes “lunch with Pete” and 6 month Leadership Team check in
ASSOCIATES IN TRANSITION:
- Recognizes when existing associate is changing responsibility or role – and supports with creating new job description or ensuring existing job description is accurate and up to date
- Supports Operations Manager in realizing what training is necessary to support new role – includes onboarding plan – and scheduling 30 / 60 / 90 reviews with manager
ALL ASSOCIATES:
- Supports Operations Manager in scheduling training opportunities at Swagelok – eg. Leaders Conference, SIP, Audit training, Welder Certification, etc.
- Monitors Certifications required for Custom Solutions – and other critical areas of the business which require certs – (fork lift training, OSHA training as applicable, Visual Acuity for CS and warehouse personnel)
- Acts as a Training Specialist – and performs training for warehouse, customer service and other known roles
- Supports Operations Manager in ongoing training and development of all staff – through internal training program targeted at improving customer service, product knowledge and engagement of associates
- Supports all managers in scheduling performance reviews – and ensuring consistent review of associate development and progress to plans
Additional Duties
- Schedule monthly Quality Meeting – to review key metrics with Distributor, Operations Manager and Controller
- Coordinate and run annual Management Review - to include Distributor, Operations Manager, Director of Sales, Custom Solutions Manager, Controller and Quality team

Requirements
- A minimum of 3 years relevant experience
- Passion for developing solid working relationships with customers and coworkers
- Strong interest in personal development and contributing to a positive work environment
- Excellent communication skills, verbally and written
- Ability to work independently as well as with a team
- Microsoft Office skills including Outlook, Word, and Excel
- Detail oriented and extremely organized
Training

- Audit Certification – at Swagelok
Salary Range
$50,000 - $65,000
